Data Collection Self-Start Guide

School Clarity contacts or managers, if you have collected Technology & Learning data previously, you can now begin your data collection whenever you are ready without an initial onboarding call with Clarity.

 

AND there is now a new District Link/Access Code so you no longer need to distribute separate links to every school (see instructions below).

 

Before you start:

  1. You will want to update your student and staff population counts so you have an accurate calculation for Statistical Significance.

  2. Plan for who/what/when/where and how: View Collection Basic Information

  3. Review email templates and prepare the communication to send to stakeholders.

  4. Follow the STEPS 1-4 below to complete the data collection process. 

 

DATA REVIEW

Once your collection is complete, join us at Keystone AEA in Elkader on Thursday, March 8th for an in depth data dig. Also consider contacting your Keystone Navigator Team to schedule a data review at your school. Or  feel free to use this link  to schedule a time  with a  Clarity rep to review your data and make a plan for next steps.

1. START/SCHEDULE QUESTIONNAIRES
Watch this instructional video

  • Log into Clarity and go to the Manage Data page for your district

  • When you have a collection start date/week in mind, select/check off the schools that are participating and then click on “Start” or “Schedule”

    • The “Start” button activates your questionnaires right away.

    • The “Schedule” button allows you schedule the questionnaires to activate on the Monday of a future week:
      Even if you would like to schedule the questionnaires to activate on a day that is NOT a Monday, we recommend scheduling for the Monday of that week.

    • Please email karen@brightbytes.net to let her know when you are going to collect. This will ensure that she can be on alert should anything unexpected occur and can plan to check in when you have completed collection.

2. DISTRIBUTE QUESTIONNAIRES Part 1

  • You can distribute questionnaires in one of 2 ways.

  • Use the “Distribute” feature on the Manage Data Page:

2. DISTRIBUTE QUESTIONNAIRES Part 2

  • You can distribute questionnaires in one of 2 ways. Method 2

  • Use the Access Code

-  You can also distribute the access code as the full URL and skip the step of entering the Access Code: www.bbyt.es/xxxxx (where xxxxx = the 5 digit code)

3. MONITOR PARTICIPATION RATES

  • You can check the participation rates of your questionnaires on the Manage Data page.

  • As a general rule of thumb, we encourage aiming for maximum participation to ensure reliable and accurate data.

  • Keep in mind that the Manage Data page updates every midnight. This means that any responses submitted today will show up on the Manage Data page tomorrow.

4. FINISH QUESTIONNAIRES

  • Once you are ready to close your data collection, return to your Manage Data page.

  • Check off your schools, then click on the “Finish” button

  • Once the questionnaires are closed, Clarity will start analyzing your data. By the next morning you will have a full CASE dashboard for your district.
